Who we are
Dutified is sold by Wyneid. Company number: [company number]. Registered address: [registered address]. Both will be filled in here when they are confirmed; until then, ask your Dutified contact if you need them.
This notice is mostly about you, the person asking for access or using Dutified. Dutified does not ask for customer data. Personal details found in a communication are replaced with placeholders in your browser or on our server before any AI customer reads it.
What we collect
When you ask for access
- Your name and work email.
- Your organisation, the kind of organisation and your job title.
- The note you choose to add, if you add one.
- When you sent the request, and the internet address it came from.
When you sign in and use Dutified
- Your name, work email, job title and role at your organisation.
- When you sign in, when a sign-in fails, and the internet address each sign-in came from.
- What you do that your organisation's governance trail records, with your name: for example saving a draft, starting a test or making a decision.
We do not use advertising or tracking cookies. The cookies Dutified sets keep you signed in and protect forms from misuse.
Why we collect it
- To decide on your request for access and to reply to you.
- To let you sign in, and to keep accounts safe: sign-in times and addresses are used to pause password guessing and to look into problems.
- To keep your organisation's governance trail, which shows who did what and when.
Who can see it
- The Dutified team, who run the service.
- The people at your organisation who use Dutified: your name, role and job title show on the team screen, and your name shows on your organisation's governance trail. Organisation administrators also see work emails.
- Nobody at any other organisation.
Your own details are not sent to the AI models.
The AI provider
Sub-processor: Anthropic, for its Claude AI models. They play the AI customers, read the words closely and mark the answers.
What is sent: the words of the communication, its subject line and preview text, and the key points, after personal details are replaced. A suggestion you ask for sends the words it is about. Nothing about you is sent.
During the pilot the words go to Claude under the Dutified team's own Claude plan, not Anthropic's business service. How long Anthropic keeps them, and whether it may use them to train its models, depends on that plan's settings: to be confirmed before the pilot ends. Until then, test public, made-up or demo communications, and assume the words may be kept.
How long we keep it
How long we keep your details, and your organisation's tests and results: to be confirmed before the pilot ends. Until then, they are kept. Your organisation can ask the Dutified team to erase a test's words.
Your organisation's governance trail is tamper-evident: an entry cannot be changed without it showing, so your name stays on entries you made even if your other details are removed.
Asking for your details to be removed
You can ask to see the details we hold about you, to correct them, or to have them removed. How to ask is on the Help page: Help, your own details.
If you are unhappy with how we handle your details, please tell us first. You can also complain to the Information Commissioner's Office, the UK regulator for data protection.
